You quoted a 300-chair wedding with 30 tables, and the crew chief asks which truck to send. Guess wrong and you pay for a second trip, or you pay a driver to sit in a loading dock. So, how many chairs fit in a box truck, and what stops you first?
Usually it is weight, not space. The numbers below show why, and they show the assumptions behind each estimate so you can swap in your own.
The cart pictured is an add-on, not part of the chair. It matters because every chair you load goes through a cart or someone's arms.
By volume alone, a 16-foot truck fits about 600 folding chairs, a 20-foot truck about 830, and a 26-foot truck about 1,200. Those are planning estimates, not guarantees. Weight and your loading style will lower them.
The math uses the White Resin Folding Chair's listed shipping size, 2.5 x 17.7 x 36 inches, which is about 0.92 cubic feet. It assumes typical cargo volumes of roughly 800, 1,100 and 1,600 cubic feet and a 70 percent pack rate. Check your own truck's interior size before you rely on these.
Now check weight. Each White Resin Folding Chair ships at 10.5 lbs. Six hundred chairs is 6,300 lbs, which can exceed the payload on a 16-foot truck. Payload is on the door-jamb sticker, so read it and divide by 10.5.
By volume, a 16-foot truck fits about 180 six-foot tables, a 20-foot about 245 and a 26-foot about 355. Weight cuts that sharply. At 45 lbs each, a 4,000 lb payload holds only about 88 of them.
Use the listed shipping sizes. The 72 x 30 plywood table ships at 72 x 30 x 2.5 inches and 45 lbs. The 96 x 30 plywood table ships at 60 lbs. The 60-inch round plywood table ships at 61 x 61 x 3 inches and 62 lbs.
A round table's shipping footprint is about 1.7 times that of a 6-foot rectangle, so a round-heavy event fills the truck sooner.
Carts turn single-chair carrying into bulk moves. The Gray Steel Folding Chair Cart holds up to 25 resin folding chairs. That means 600 chairs take 24 cart loads, instead of 600 trips.
The Hanging Chair Cart holds 72 resin folding chairs, or up to 120 poly folding chairs. It measures 34.5 x 66 x 71.5 inches and weighs 88 lbs. At 72 chairs, 600 chairs take nine loads. Note: 72 resin chairs at 12 lbs each is 864 lbs, so plan two people for ramps.
For tables, the American Cart Multi Mover Hand Truck is rated for 800 lbs and has a folding plate. The Steel Banquet Table Cart is $299.98 and lists 10 tables of 72" x 30" or 96" x 30", so the 30 six-foot tables in the wedding above ride on three carts. Load heavy and flat first, light and tall last. Tables go on the floor, against the front wall, with the heaviest at the bottom. Chairs ride on carts or in stacks on top, and the last thing on is the first thing off.
Load in the reverse order of the event. Ceremony chairs go on last so they come off first. Strap carts to the wall so they cannot roll on the first turn.
Take the wedding from the top: 300 chairs and 30 six-foot tables. The chairs weigh 3,150 lbs and the tables weigh 1,350 lbs, for 4,500 lbs before carts. That is a heavy load for a 16-foot truck and an easy one for a 26-foot truck.
Know the payload, load by weight, and use carts at both ends. If an order crosses the weight limit, move the tables to a second, smaller truck and keep chairs together. A second small truck usually costs less than a failed load.
A cart that rolls straight from the truck to the tent, like the one above, saves a handoff at every stop.
The hanging cart is the upgrade for big chair counts, since one cart carries about as many resin chairs as three gray carts. The Protective Stack Cover costs $29.98 and covers 7 chairs or 5 bar stools. It is listed for Chiavari chairs and bar stools, so check fit before you use it on folding chairs.
Weight usually comes first for tables and often for chairs. Read your payload sticker and divide by the item weight.
The gray cart holds 25 resin folding chairs, and the hanging cart holds 72 resin chairs or 120 poly chairs.
Twelve loads on the gray cart, or four to five on the hanging cart.
The truck is only as full as the payload allows. Load by weight, cart by count. Browse carts and dollies, or call us for a quote.
